This Privacy Notice explains what personal information I collect, why I collect it, how I use and protect it, how long I keep it and your rights in relation to your information.

1. What information do I collect?
Depending on the services you use, I may collect:
Personal and contact information - Your name, email address, telephone number, address and other contact details.
Health and wellbeing information - As part of Health Coaching, you may choose to share information about your health, wellbeing and lifestyle. This may include information about symptoms, medical history, medications, nutrition, sleep, energy, stress, activity and other information relevant to your coaching.
Health information is considered special category data under UK data protection law and receives additional protection.
Style information - As part of Style Coaching, I may collect information about your personal style, colour preferences, body proportions, style personality, wardrobe, clothing preferences, shopping preferences and style goals.
Coaching information - I may keep notes relating to consultations, goals, agreed actions, progress and resources provided as part of your coaching programme.
Administrative information - This may include appointment details, payment information and correspondence relating to your coaching programme.
2. How do I collect your information?
I may collect information when you:
● contact me by email or through my website
● enquire about or book a service
● complete a client intake form or questionnaire
● complete a Coaching Agreement
● take part in a Discovery Call or coaching consultation
● communicate with me during your programme
● voluntarily provide information as part of your coaching.
I aim to collect only information that is relevant and necessary for providing my services.
3. How do I use your information?
I may use your information to:
● provide and personalise Health Coaching and Style Coaching
● understand your goals, circumstances and needs
● prepare for and conduct coaching sessions
● provide personalised recommendations, resources and plans
● communicate with you about appointments and your programme
● administer payments and business records
● maintain appropriate client records
● meet my professional, legal and insurance responsibilities
● respond to enquiries and requests.
I will not use your personal information for purposes that are incompatible with the reasons for which it was collected.
4. Health information and special category data
Some information provided during Health Coaching may constitute special category data under the UK GDPR because it concerns your health.
I will only collect and use health information where it is relevant to providing your coaching and where I have an appropriate lawful basis and condition for processing it.
I will take particular care to keep health information secure and confidential.
You are not required to provide information that is not relevant to your coaching. However, withholding information that is relevant to your health or circumstances may affect my ability to provide appropriate coaching or determine whether coaching is suitable for you.
5. How I store and protect your information
I take reasonable and appropriate steps to protect your personal information against loss, misuse, unauthorised access, disclosure or alteration.
Depending on the information and the service involved, I may use the following systems:
● Online client forms and questionnaires
● Google Drive and Gmail for storing and managing client information and communication
● Google Meet and Zoom for coaching consultations
● Canva for creating personalised client documents and resources
These services may process personal information on my behalf as part of providing my services. I take reasonable steps to ensure that appropriate privacy and security arrangements are in place with the service providers I use.
Sarah Styles Wellness does not routinely record Discovery Calls or coaching consultations.
6. Who may I share your information with?
I will keep your personal information confidential and will not sell your personal information or share it with third parties for their own marketing purposes.
I may share information where this is necessary and lawful, including:
● where you have given appropriate consent
● where disclosure is required by law
● where necessary to protect your vital interests or those of another person
● with service providers who process information on my behalf where necessary to operate my business and provide your coaching.
7. How long will I keep your information?
Client records will normally be retained securely for seven years following your last consultation, in accordance with my professional and insurance requirements.
After the applicable retention period, information will be securely deleted or disposed of where appropriate, unless there is a lawful reason for retaining it for longer.
8. Your rights
Under UK data protection law, you have rights in relation to your personal information.
Depending on the circumstances, these may include the right to:
● request access to the personal information I hold about you
● request correction of inaccurate or incomplete information
● request deletion of your information in certain circumstances
● request restriction of processing in certain circumstances
● object to certain processing; and
● withdraw consent where processing is based on consent.
Some rights are subject to specific conditions and exemptions under data protection law.
